Andersen in Belgium therefore has access to the data communicated to it via these portals in order to provide the services and products that you have ordered. We process these personal data on the basis of our legitimate interest in offering a relevant and properly functioning online store, and this until the moment when you actually place an order and finalise the payment for this purpose. After an order has been placed, we process the personal data in the context of the performance of the concluded contract.

Where applicable, if you purchase - in addition to digital products such as template contracts, documents, etc. - also services provided by Andersen in Belgium (such as, for example, a workshop or a consultation relating thereto), your personal data will then be processed as if you were a client, as provided for in point 2.4 of this privacy policy.

2.4 - You become a client or are a potential client of Andersen in Belgium and receive legal assistance from our specialists

If you call upon Andersen in Belgium for legal assistance, we will have to process for this purpose the necessary data. This includes in particular your name (first name and surname), your address data, your email address, your telephone number, your fax number, your language preference, data relating to your company and your position, your National Register number, your VAT number, your bank account number and all data relating to your file and relevant in this respect. To the extent required, or following the collection of personal data imposed on us by law, we also collect data relating to sex, date of birth and place of birth.

We do this in order to accomplish all acts necessary for the handling of your file, including in particular the drafting of the necessary documents, opinions and contracts, assistance to the client during hearings and negotiations, etc. In this context, we will only process special and/or sensitive personal data in the event that this is relevant in the context of the handling of the file concerned.

If you are involved in a file handled by Andersen in Belgium without being a client (for example an opposing party or another person concerned), we may also process your personal data in the context of the defence of our client’s file.

This forms part of the performance of the legal services agreement and the related legal obligations (for example anti-money laundering legislation, KYC obligations) of Andersen in Belgium in the context of its services. If you are involved in a file without being a client of our firm, we only process your personal data for the purposes of following up that file and on the basis of our legitimate interest in this respect.

2.5 - You visit an event or attend a seminar, webinar or workshop organised by Andersen in Belgium

Furthermore, we also regard as falling within our legitimate interest the fact of continuing to keep you informed of new events that may potentially be of interest to you and of sending invitations to events, seminars and conferences.

If it concerns a digital workshop and/or a webinar, we will also process the manner in which you use the platform concerned as well as the actions that you perform on it. Where applicable, this is done in order to issue the necessary attendance certificates.

2.6 - You come into contact with Andersen in Belgium in another way, for example during an exchange of data on the occasion of meetings, conferences or events, etc.

If we obtain your personal data as a result of informal contacts or during meetings, conferences and/or events, it is possible that we process them in order to contact you or inform you about our services and events. In that case, the data are always provided directly by you to Andersen in Belgium.

We always process these data on the basis of your consent or of our legitimate interest in approaching potential clients or contacts as well as in obtaining an insight into our functioning and the way in which we can improve it. 2.7 - You provide services to Andersen in Belgium or you collaborate with us

2.8 – You visit our offices

In the context of securing our offices, access control and camera surveillance are provided on the basis of which images of you will be made. These processing operations only take place for the purposes of securing our offices (legitimate interest). We will keep these images for one month, unless they are used following an incident or dispute.

2.9 - You apply or work with us

The processing of personal data of candidates, staff members and independent lawyers linked to Andersen in Belgium in the capacity of partner or associate is carried out in accordance with the law with a view to possible recruitment, the conduct of personnel policy and administration, the training and evaluation of staff members and associate lawyers and/or partners, compliance with social, tax and other obligations; the dissemination of publications and internal communications; security and risk prevention, combating fraud, cost allocation, salary and fee administration, email traffic.

These data are processed, on the one hand, on the basis of the consent of the data subjects and, on the other hand, on the basis of the legal provisions in the field of labour law and social security or the rules of the Bar Associations.

Since the processing concerning candidates is based on obtaining data on the basis of their consent, the candidate may also always withdraw the latter. In that case, no employment contract can be concluded. The same applies to collaboration agreements with independent lawyers.

After the end of a recruitment procedure, we will keep your data for a period of 6 months. You always have the right to object thereto, after which we will delete your data.

Once in the service of Andersen in Belgium or bound by a collaboration agreement with Andersen in Belgium, it is no longer possible to object to the processing of personal data for the purposes mentioned.

2.10 - General business management and accounting

In the context of proper business management and the keeping of compliant accounts, Andersen in Belgium must process the necessary personal data. In this context, we may process your personal data (name, address, contact details, company number, VAT number, financial data, products and services provided and any other relevant data). This also includes the sending of fee notes and invoices and/or payment reminders by email.

We do this on the basis of our legal tax and accounting obligations as well as our legitimate interest in optimising and strengthening our business management and defending our rights in the context of disputes in which we are involved.

3. Sharing of personal data with third parties - International transfer of data

Your data will never be sold to third parties. In clearly determined cases, it is necessary for Andersen in Belgium to share your personal data with other service providers acting in the capacity of processors. In that case, Andersen in Belgium asks them either to act as Andersen in Belgium’s service provider in a specific file, or on behalf of or for the account of the client through Andersen in Belgium, or by directly providing these services to the client.

In principle, we will only share your data with third parties on the basis of the need-to-know principle. It may also happen that Andersen in Belgium must give its suppliers and service providers access to your personal data when they provide services to us. In this context, it is possible that your personal data are shared with the following service providers:

• The processors that we appoint in order to provide a specific service (for example suppliers, affiliated companies, marketing and communication agencies, etc.), this may also take place in the context of the handling of a file (for example bailiffs, legal platforms (for example DPA), etc.);
• The ICT service providers that help us set up and maintain our digital infrastructure (for example ISP services, CRM providers, digital signatures, etc.);
• The independent collaborators of Andersen in Belgium;
• In order to obtain a second opinion or advice from another service provider, which forms part of our multidisciplinary team;
• Accountants, auditors, insurers, HR providers, etc.;
• In the context of disputes.

Third parties that process your data on our behalf are bound by an obligation of confidentiality and may only use the specific data on the instructions of Andersen in Belgium and must also ensure a level of security and confidentiality of your data equivalent to that of Andersen in Belgium.

It may happen that Andersen in Belgium is (legally) obliged or, for the application of the General Terms and Conditions, must communicate your data to third parties, in particular:

• In the event of disputes;
• In order to satisfy legal obligations, such as the execution of court orders;
• In order to cooperate with police services or tax authorities.

Transfers of personal data outside the EU/EEA always take place in compliance with data protection legislation. The level of protection may be lower outside the European Economic Area. In that case, and where necessary, we will ensure that there is a legal basis for the transfer and that adequate protection of your data is ensured, as required by the applicable legislation.

7. Retention period

Andersen in Belgium does not keep your personal data longer than strictly necessary to achieve the purposes for which your data are collected.

When you unsubscribe from the newsletter, your personal data will be removed from the system at the latest at the end of the month concerned.

We keep the data in our accounting system and CRM for at least 10 years, in particular in order to satisfy all our legal obligations. These data are deleted by us within the year following the expiry of this obligation.

Personal data contained in case files may be retained for up to 5 years following the closure of the file.

Personal data processed in the context of events, seminars and webinars (such as registrations and participation data) may be retained for a period of up to 2 years after the event.

The aforementioned period applies subject to the existence, for us, of additional legal obligations to keep the data for a longer period and/or to make them available.

8. Amendments

We reserve the right at any time to amend our privacy policy. The amendments enter into force at the time announced for their entry into force. The current version was last amended on 22 April 2026.
